Why a passage has to stand on its own
A passage has to stand on its own because a retrieval system rarely hands over a whole page. It lifts one fragment and shows that fragment. The person reading it, or the model writing an answer from it, sees the fragment while the page it came from stays closed.
Everything that fragment needs in order to be understood has to sit inside the fragment. A sentence that points back to the paragraph above arrives without that paragraph. A heading that only makes sense under the one before it arrives without the one before it.
The check above splits your text the way a retriever lifts it, and tests every piece on four properties. What follows is what each property means and what to change when a piece fails it.
Headings as addresses
Every heading has to be understandable without the page around it. A machine reads the heading as the address of the passage, and it uses that address to decide whether the passage answers the question in front of it.
Headings such as Introduction, Overview, Background, More or Conclusion carry no address. They describe the position of a section inside a document that the reader of the fragment never sees.
What to change: write the heading as the question the section answers, in the words a person would type. A heading that names its subject survives extraction. A heading that names its position does not.

Orientation inside the fragment
Orientation inside the fragment comes from its first sentence, which has to name the subject of the heading. A reader who arrives at the fragment starts there, with nothing before it.
A first sentence that begins with a result, a qualification or a side remark leaves the reader guessing what is being talked about, and leaves a model without the term it would need in order to cite the passage under the right name.
What to change: put the subject of the heading into the first sentence, spelled out. The repetition that looks clumsy on the whole page is what carries the fragment on its own.

Structure that survives extraction
Structure that survives extraction begins with the word a sentence opens on: this, that, these, it, they, such, however, therefore and furthermore each point at something that came earlier. In an extracted fragment, the thing they point at is gone.
The sentence still reads. It just no longer says anything specific, and a model that quotes it will quote a sentence with an empty reference in it.
What to change: replace the opening word with the thing it points to. This process becomes the review of the technical documentation. It follows becomes the certificate follows.

Length and what survives it
Length decides what survives it: above roughly three hundred words a passage usually covers more than one question. A retrieval system then either takes the whole block, of which most is beside the point, or cuts it at a place you did not choose.
Both outcomes cost the same thing: the sentence you wanted quoted arrives surrounded by material that weakens it.
What to change: split the passage where the second question begins, and give the new part its own heading written as that question.

What this check reads and what it leaves to you
The check reads the heading, the first sentence and the word count of each passage. Whether a passage is true stays your call.
Text pasted without markup carries its navigation as if it were content: the check cannot tell a menu from a paragraph unless it reads the page source.
The opening test compares word stems, not meaning. A first sentence that names the subject in other words shows as no; a sentence that shares one word with the heading by chance shows as yes.

Buried expertise is what a check cannot reach: this one identifies where written content is unclear, unsupported, generic, or disconnected. It cannot extract the cases, evidence, decision rules, and distinctions that have never been written down.
